Integrating with Xero

This article explains how to connect Zettle Food & Drink with the Xero accounting tools. Once connected, Zettle automatically imports all your sales and payments data into Xero. The integration is quick and easy to set up. 

Tip! We recommend you create separate bookkeeping accounts for each set of data (such as your Zettle payments and fees) to make it easier to see the transactions going in and out of your Zettle account and your bank account.

Integrating with Xero

Xero is an online accounting tool that is fully integrated with Zettle Food & Drink. It’s easy to use, and is designed specifically for small businesses. Xero is stored online, so you can work whenever you want from your PC, Mac or mobile. To find out more about Xero, visit their website.

About the import

When you set up the integration, you can select any date in the past from which to start the import. This will retroactively import data from Zettle to Xero for each day since the date selected. We recommend you select a date within your current fiscal year so as not to alter any data in the period before the last closing of your books.

Zettle automatically imports data to Xero once a day at 00:00 GMT. After you set up the integration, the first Zettle data will appear in Xero the next day.

After the first successful data import between Zettle and Xero you cannot change the start date, as this would result in duplicated data for overlapping days. If you want to import Zettle data to Xero for a time period before the selected start date, first clear your data from Xero or QuickBooks. Next follow these steps to set up your connection with the new start date:

  1. Log into Backoffice.
  2. From the left-hand menu, select Integrations. The Accounting integrations screen appears.
  3. Choose Xero.
    • Your current configuration will appear
  4. Press the disconnect button to disconnect this connection.
  5. Set up your connection again this time selecting the new date you want the import to start from

What data is shared between Zettle and Xero?

When you authorise the connection between Zettle and Xero you give permission to Xero to read your Zettle sales and financial data. You also give permission to Zettle to read your Xero organisation’s company, accounts, tax rates, customers, suppliers, invoices, bills, payments, balance sheets and bank statements.

Setting up the integration for Xero

To use Xero, you first need to integrate it with your Zettle account. To do this:

  1. Log into Backoffice.
  2. From the left-hand menu, select Integrations. The Accounting integrations screen appears.
  3. Choose Xero
    • If you’re configuring Xero for the first time, click Connect and follow the instructions on-screen. The Set up your Xero connection screen appears. 
    • If you’ve configured Xero previously, your configuration information appears. 
  4. Configure your accounts:
    • Select or create an account in Xero where you collect sales data and refunds 
    • Although it’s not supported yet in Food & Drink Zettle tipping is a required field. It’s a good idea to select the account you would like tips to go into so that you’re ready once the feature does go live
    • Map your Zettle tax rates to your Xero tax rate codes
    • Select or create an account in Xero where you record Zettle fees
    • Select or create an account in Xero to record Zettle payment types
    • Specify when you want to start importing data into Xero (see above for more information)
  5. Click Save to initiate the data sync between Zettle and Xero. 

Integrating with QuickBooks

This article explains how to connect Zettle Food & Drink with QuickBooks Online accounting tools. Once connected, Zettle automatically imports all your sales and payments data into QuickBooks Online. The integration is quick and easy to set up.
